Compensation Range: $35/hr - $45/hr W2

Job Description:
Support the day-to-day execution of a large public-service program by coordinating projects, maintaining schedules and reporting, organizing cross-functional workstreams, and providing hands-on administrative and operational support.
Day-to-Day Responsibilities:
- Support daily program and project execution across multiple workstreams
- Coordinate schedules, meetings, agendas, notes, and follow-up tasks
- Maintain Asana tasks and ensure assignments and deadlines remain on track
- Escalate project issues and risks as needed
- Pull reporting from Airtable and provide routine status updates to leadership
- Coordinate program leads, partners, staff, and cross-functional meetings
- Maintain project timelines, milestones, and documentation
- Track contracts, invoices, data records, budgets, and expenses
- Draft memos, reports, correspondence, and project updates
- Support impact reporting and direct program delivery activities
- Assist program coaches supporting direct work with cities
- Coordinate collaboration across programs and teams
- Support a global, multilingual program environment
- Help organize and streamline workflows to reduce administrative burden on senior team members
Required Qualifications:
- 3 years of related professional experience, including project management or project coordination
- Experience providing administrative or project support to a program or project leader
- Strong project coordination and organizational skills
- Experience using project management tools, ideally Asana
- Experience with data reporting tools, ideally Airtable
- Strong scheduling, meeting coordination, and note-taking experience
- Experience assigning and tracking tasks across multiple stakeholders
- Ability to maintain timelines, milestones, and project documentation
- Strong written communication and reporting skills
- Ability to manage competing priorities and follow direct guidance from program leadership
- Self-starter who can proactively take work off a busy team's plate
- Strong interest in public-service-oriented work
- PMP certification
- Experience within nonprofit organizations
- Higher education experience
- Civic or government program experience
- Experience supporting global or multilingual programs
- Demonstrated ability to improve and organize processes without creating additional administrative burden
