Pay Rate: $40–$45/hr W2
Location: Remote – EST hours; NYC-based strongly preferred
Schedule: Part-Time, 20–30 hours/week

Travel: Must be available to travel to Las Vegas May 23–26, 2027; travel expenses covered

Position Overview
Our client is seeking an experienced Project Manager to support the planning and execution of a large-scale global hospitality conference. This individual will own a dedicated workstream supporting multiple brands and will coordinate timelines, creative deliverables, client requests, trade show elements, and cross-functional teams from initial planning through onsite execution.
The ideal candidate comes from an experiential marketing, creative agency, live events, conference, or trade show environment and is comfortable managing multiple stakeholders and moving pieces simultaneously.
Responsibilities

Manage day-to-day project activities for approximately 3–6 assigned brands.

Own project timelines, priorities, deliverables, meeting agendas, action items, and follow-ups.

Coordinate development of presentations, scripts, creative assets, and other event-related content.

Partner closely with Creative, Production, and Account teams to keep projects moving forward.

Coordinate trade show booth requirements, including graphics, furniture/FF&E, props, de cor, staging, and special requests.

Serve as a key point of contact between clients and internal cross-functional teams.

Track dependencies, identify potential risks, and escalate issues when necessary.

Review presentations, creative assets, event materials, and other deliverables for accuracy and completeness.

Provide clear project status updates to senior account and project leadership.

Support onsite event execution in Las Vegas, including rehearsals, brand sessions, trade show booths, and live-event troubleshooting.
Required Qualifications

Strong project management experience within experiential marketing, live events, conferences, trade shows, or a creative/marketing agency environment.

Experience owning a specific workstream within a larger, complex project.

Proven ability to manage multiple stakeholders, deadlines, deliverables, and competing priorities.

Excellent client-facing communication, organization, and follow-up skills.

Strong attention to detail and quality control.

Ability to proactively identify risks, dependencies, and potential project issues.

Comfortable working in a fast-paced, deadline-driven environment.

Must be available to work 20–30 hours per week during EST business hours.

Must be available for onsite travel to Las Vegas May 23–26, 2027.
Preferred Qualifications

Experience supporting large-scale corporate conferences or experiential events.

Previous trade show and/or event production experience.

Creative or experiential marketing agency background.

Hospitality, hotel, travel, or franchise industry experience.

Experience coordinating AV, staging, booths, graphics, and other physical event elements.

Experience working with executive-level or high-profile client stakeholders.

Familiarity with Slack and Google Workspace.
