Eligible Work Authorization Status: US-Citizen or Green Card
W2 Pay Rate Range: $25/hr - $28/hr 

Job Description:
The Admin Coordinator provides critical administrative and operational support to ensure the efficient day-to-day functioning of an academic or business office. This role focuses on calendar coordination, meeting logistics, reporting support, event coordination, and general office administration while collaborating closely with leadership, faculty, and internal stakeholders.

Day-to-Day Responsibilities:

  • Coordinate daily administrative operations for the office or assigned programs

  • Manage calendars, schedule meetings, and coordinate meeting logistics

  • Prepare meeting agendas, materials, and document meeting minutes and action items

  • Maintain general office operations including purchasing requests, records management, and facilities coordination

  • Serve as a point of contact for administrative inquiries and internal requests

  • Support report creation, presentations, and documentation preparation

  • Assist with event coordination including workshops, faculty sessions, and departmental functions

  • Process expense reports and invoice payment requests

  • Monitor shared inbox communications and respond or route requests appropriately

  • Track professional licensing renewals and maintain related spreadsheets

  • Coordinate survey distribution and basic analysis reporting

  • Schedule professional development sessions and coordinate logistics

  • Support onboarding logistics for temporary staff or student workers as needed

  • Identify opportunities to improve administrative processes and office workflows

  • Provide high-touch customer service to faculty, staff, and visitors

  • Assist with ad-hoc administrative projects as needed

Requirements:

  • Must-Have Skills/Experiences:

    • High School Diploma or equivalent

    • 2 years of administrative, coordinator, or office support experience

    • Experience managing calendars and scheduling within Microsoft Outlook

    • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

    • Experience supporting meetings, documentation, or reporting

    • Strong organizational and multitasking skills in fast-paced environments

    • Strong written and verbal communication skills

    • Ability to manage multiple priorities and deadlines simultaneously

    • Professional demeanor with strong customer service skills

    • Experience handling confidential information appropriately

  • Nice-to-Have Skills/Experiences (NOT required, but a plus!):

    • Experience supporting academic, healthcare, or corporate administrative environments

    • Experience with survey tools (such as Qualtrics or similar platforms)

    • Event coordination or program support experience

    • Process improvement or operations support experience

    • Experience supporting executive or leadership teams

    • Experience working in high-traffic office environments
